A custom-built operations hub leveraging Google Workspace to automate resource allocation, streamline internal communications, and provide real-time tracking for organizational projects. This system eliminates manual scheduling conflicts and centralizes all operational data into a single, accessible portal.
The Problem
PROJECT OVERVIEW: A professional system designed to solve a critical organizational challenge: managing shared physical resources across a growing team. This project demonstrates the integration of Google Workspace tools to create a user-friendly, automated operations hub that replaces manual spreadsheets and fragmented communication.
THE PROBLEM: The organization lacked a centralized, real-time system for booking conference rooms. Employees relied on manual check-ins and static calendars that were frequently out of date, leading to double-booked rooms, meeting interruptions, and general operational friction.
Without automated confirmations or a simplified way to modify reservations, the administrative team spent significant hours each week troubleshooting scheduling conflicts and manually coordinating resource allocation through long email threads.
The Solution
The solution was to build a centralized Operations Hub using a Google Site as an internal employee portal. This hub integrated a custom booking form (Google Forms) with backend automation (Google Apps Script and Sheets) to manage room and equipment availability, prevent scheduling conflicts, and provide automated communication for all workspace activities.

Manage Booking
1. User Request
Employee navigates to the Google Site portal and accesses the embedded Booking Form.
2. Logic Validation
Submit data is logged in a central Google Sheet. Apps Script triggers to check the spreadsheet and calendar for room/time availability.
3. Confirmation & Automation
If available, the event is automatically added to the Google Calendar and a confirmation email is sent via Gmail.
4. Conflict Management
If a conflict is detected, the request is rejected, and the user receives a notification to select an alternative time.
5. Self-Service Management
Confirmation emails include unique links to a separate Apps Script Web App for rescheduling or canceling reservations.
6. Administrative Reporting
Admins maintain a real-time log and booking history sheet to track resource utilization and long-term trends.
